The primary purpose of the Document Control Specialist is to manage company documents while also ensuring their accuracy, quality and integrity. The Document Control Specialist will work with product lifecycles, end of life, electronic documentation systems and processes to help the company grow and scale. This position will help the company adhere to recorded retention policies, safeguarding information and retrieving data more effectively. This position will help the company export sensitive technical information while organizing and safeguarding company assets, technical packages, documents and data.

A day on the job may include:

  • Responsible for maintaining company records for multi-level product definition and configuration, as well as change history management

  • Coordination with Engineering and Operations organizations to manage product lifecycle phases from concept to end of life (EOL)

  • Coordination with Compliance Manager to keep regulatory/industrial compliance records applicable to product content

  • Archive inactive records in accordance with the records retention schedule

  • Receive and process requests for Information, or RFIs, from employees or clients and maintain the requests via tracking logs

  • Work directly with engineering and program management

  • Scale the document control system to company needs

  • As RFI procedures are updated, create new templates

  • Create workflows and procedures that tie document control into existing or new processes

  • Analyze cross-system discrepancies and errors

  • Handle configuration management to maintain consistency in product design, performance, functions, form, fit and operational information throughout product life cycle

  • Improving the document control organization and execution

  • Training employees on records management procedures and policies, which include documentation, retention, retrieval, destruction and disaster recovery

  • Assist with file migrations and audits, and perform administrative tasks as needed

  • Handle technical export packages of documents and sensitive information

  • Review and process engineering notices

  • Ability to analyze reports to find discrepancies and errors

  • Adhere and work to improve processes involving documents and data

  • Manage date dependent notifications and updates

  • Manage an ongoing document control repository

  • Manage ongoing workflows and procedures

  • Manage document revisions and access

  • Verify technical data and BOM

  • Critically review approvals, changes and workflows

  • High School Diploma required

  • Associate's degree or Bachelor's preferred

  • Strong computer skills are required including familiarity with Windows-based programs such as Microsoft productivity tools (e.g., Excel, Word, and Outlook)

  • Windows network folder organization and management required; SharePoint

  • Ability to prioritize, manage time well, multitask and troubleshoot.

  • Strong interpersonal, communication and customer service skills

  • Strong communication skills with engineering and program management

  • Strong understanding of product lifecycle management

  • Experience with end of life management

  • Ability to work independently, manage multiple assignments, and meet tight deadlines

  • Detail oriented to ensure document integrity

  • A minimum of 5-6 years of previous document control experience in consumer electronics

  • Have worked in a small team environment

  • Experience with electronic document control system(s)

  • Experience with configuration management

  • Experience with engineering change notices, requests and/or orders

  • Excellent written and verbal communication skills

  • Exemplary organizational skills, with clear understanding of hierarchy and outlining structures for efficiency

  • Ability to train other team members on use of document control system
